Query on ISA transfer in.

Morning all
About a week ago I added a transfer in request to my ISA account to bring in a cash ISA held with Virgin Money. That request is now showing as "Form Sent to Client". Is this a pysical form of some sort as as far as I can see I have not received and documents by email. Is it snail mail?
Also, I need to sort out the JISA held for my son. If her were to open a new account in his own name do we still need to use the old PH2607 referral code?

For specific detail like this, that makes more sense than the public forum.
